Family Volunteer Policy

Volunteering is an important part of Red Mountain Racers
Red Mountain Racers is a volunteer-driven ski club. The races, programs, fundraising activities and events we run throughout the season depend on the time and effort contributed by our families.
From race-day course work, timing and gatekeeping to tailgating, fundraising, event support, communications and club administration, volunteers play an essential role in making our programs possible. A strong volunteer community helps keep program costs manageable, supports our ability to host races and events at RED Mountain, and gives families a meaningful role in the success of our athletes and our club.
The RMR Family Volunteer Policy makes volunteer expectations clear and consistent across the club. It outlines the volunteer commitment for each program, which activities qualify, how hours are tracked, race-day expectations, and what happens if a family cannot complete its commitment.
Volunteer Requirements at a Glance
Volunteer commitments are based on the program in which your athlete is enrolled.

The requirement applies per family, not per athlete or per parent. If you have more than one athlete in the club, your family is responsible only for the highest applicable program requirement — the hours are not added together. Hours may be completed by any combination of parents, guardians or other family members of the enrolled athlete.
Volunteer hours are credited based on the actual time worked. The five-hour-per-day figure is used only to help communicate the overall seasonal commitment.
Race-Day Volunteering
When RMR hosts a race at RED Mountain, at least one parent or guardian is expected to volunteer on each day their athlete participates.
Race-day roles can include course set-up and tear-down, course work, timing, gate keeping, bib collection, finish-area support and other duties required to safely and successfully run the event.
Hours worked at RMR-hosted races count toward your family’s annual volunteer requirement.
Ways to Complete Your Volunteer Hours
You can contribute in many ways throughout the season, both on and off the hill.
Qualifying activities include race-day set-up and course work, timing, gate keeping, tailgunning for Nancy Greene programs, Gear Swap support, fundraising events, AGM attendance, committee and governance work, club events, communications and other approved club activities. Completing a recognized race official training course can also count toward your volunteer hours in the season in which the course is completed.
Volunteer hours at races hosted by other clubs do not count toward the RMR family requirement, although families are encouraged to help at away events when possible.
Volunteer opportunities will be shared through RMR communications during the season. Families are encouraged to sign up early and spread their volunteer involvement throughout the year.
Log Your Volunteer Hours
Families are responsible for recording their own volunteer hours throughout the season.
We recommend entering your hours as you complete them rather than waiting until the end of the season. When logging your hours, please include:
- Date of the activity
- Name of the volunteer
- Activity and description
- Actual number of hours worked
- Name of the event coordinator, race official or Board member who can confirm the hours
All volunteer hours must be submitted by April 30 each season. Hours do not carry forward from one season to the next.
What If I Can’t Complete My Hours?
RMR recognizes that exceptional circumstances can sometimes make it difficult for a family to complete its volunteer commitment.
Families experiencing illness, injury, significant personal circumstances, limited access to suitable volunteer opportunities, race cancellations or other challenges are encouraged to contact the Volunteer Coordinator as early as possible. Requests for exceptions are reviewed by the Board on a case-by-case basis.
Families that do not complete their requirement and do not receive an exemption may be assessed a non-compliance fee:
Nancy Greene: $250 per family
U12–U16 Competitive: $500 per family
FIS: $500 per family
The purpose of the fee is to reflect the real cost to the club of unfulfilled volunteer commitments — it is not intended as an alternative to volunteering.
